Requesting a Time Extension

When the Office of Sponsored Projects Administration receives a notice of award but the proposed principal investigator has not met the requirements for instruction in the Responsible Conduct of Research (RCR) to be eligible to serve, that individual is notified by email that an award has been received but is being held. If the proposed principal investigator has worked at the University longer than 12 months, then this individual can request additional time to complete the RCR.

If you receive an email notifying you of a grant or contract award that is being held because you have not fulfilled the RCR requirements, you can request additional time using the following procedure:

  1. Contact Carol Foth, Manager, FIRST Programs (fothx001@umn.edu or 612.624.1854) to discuss your RCR time extension request.
  2. Prepare letter or email requesting time extension, including the following information:
    1. Statement that you have contacted the FIRST program,
    2. Explanation of why you have not completed the RCR courses, and
    3. When you will complete the courses.
  3. Send letter or email to your department head for approval. If prepared electronically, email is sent to department head, who notes it has been approved and signs it.
  4. Send letter or email for final approval to associate dean for research of your college, or Sr. Vice President of non-collegiate unit. If prepared electronically, email is forwarded to associate dean for research or Sr. VP, who approves and signs email.
  5. Approved request is submitted to FIRST office, as letter or forwarded email with all required signatures.
  6. If request is not approved at any stage of this process, or if additional information is needed, you will be contacted by phone or email.
  7. Once approved request is received by FIRST, you will be informed of the decision, and the grant administrator in the Office of Sponsored Projects Administration will be notified to proceed with the award process.
